Coach app · user manual

ORCA Coach tour.

A complete walkthrough of the ORCA Coach app, optimized for iPad. Live roster monitoring across a whole platform, remote programming, testing campaigns and longitudinal reporting - powered by the same dual research-grade 6-axis IMU data your athletes stream at 200 samples/second. Built for team coaches, federations and independent professionals.

Before you start: the ORCA Coach app is a separate iPad-first application (also available on desktop). Athletes still use the standard ORCA athlete app on their iPhone. One iPad can orchestrate a full platform of sensors - see chapter 05 (Fleet) and chapter 09 (Live session monitoring). If you also lift yourself, install the athlete app on your phone too.
01

Coach app overview

The Coach app is organized around six main sections in the left sidebar:

  • Dashboard - live session activity, alerts, and today's schedule across the whole roster.
  • Roster - every athlete, grouped and searchable.
  • Programming - templates, programs, and the session assignment board.
  • Testing - campaign builder for 1RM prediction, force-velocity profiles, isometric mid-thigh pull, jumps and sprint profiles.
  • Analytics - comparative charts, leaderboards, readiness heatmaps and longitudinal reports.
  • Fleet - every ORCA sensor across the organization with battery, firmware and current assignment.

The top-right shows organization name, active coach seat, and a quick switcher between orgs if you belong to more than one.

02

Setting up your organization

  1. On first launch, tap Create organization.
  2. Enter organization name, sport, country, and logo (optional, printed on athlete reports).
  3. Choose the licensing tier that matches your seat count. Tier is enforced by the license you purchased on the configurator.
  4. Set default units (kg or lb), timezone, and week start day. These become defaults for every athlete added.
Note
Only the organization owner can rename or delete the org. Additional coaches inherit its settings.
03

Adding coaches and seats

Every Coach license includes one head-coach seat. Extra coach seats are added on the configurator or from Settings · Billing.

  1. Go to Settings · Coaches.
  2. Tap Invite coach. Enter email and choose a role (see chapter 18).
  3. The invited coach receives an email link, signs up (or in), and joins your org.
  4. Remove or change a coach's role from the same screen at any time.
04

Building your athlete roster

Under Roster, you have three ways to add athletes:

  • Invite by email or link: the athlete creates their own ORCA account and appears in your roster.
  • QR code batch: generate a printable sheet of one-time QR codes. Athletes scan with their phone camera to join.
  • CSV import: upload name, email, sport, position, birthdate, bodyweight. Invites are sent automatically.

Each athlete entry stores contact info, sport and position, current bodyweight, injury flags, and any custom tags you create.

Tip
Use tags for anything that changes over time (varsity vs. JV, injury status, training block). Tags drive most filters throughout the app.
05

Sensor fleet management

Under Fleet, every ORCA sensor purchased under your organization appears with:

  • Serial number, firmware version, last-seen time.
  • Battery level updated at last sync (up to 730 days standby, ~24 hours of continuous training per charge).
  • Current assignment - an athlete, a shared pool, or in-case.
  • Case slot when a rugged multi-sensor case is registered (configurable for 4–12 sensors with optional in-case charging).

Assigning a sensor

  1. Tap any sensor row. Choose Assign to athlete or Return to pool.
  2. Assigned sensors appear inside that athlete's profile and can be paired from their ORCA athlete app.
  3. Pool sensors are available for anyone in the org to pair for a single session, then auto-return to the pool.
Note
Firmware auto-updates over Bluetooth Low Energy 5.0 through the ORCA apps. Rollouts can be staged or pushed to the entire fleet at once from Fleet · Firmware.
06

Groups and squads

Groups let you programme, message, and analyze several athletes together.

  1. Under Roster · Groups, tap + New group.
  2. Name it (e.g. "Senior forwards", "U18 sprinters"), pick a color, add athletes.
  3. An athlete can belong to any number of groups.

Groups are the primary unit for assigning programs, running testing campaigns, and building leaderboards.

07

Programming and templates

Templates

Templates are the reusable building blocks: a list of exercises, sets, target velocity zones, and optional velocity-loss cutoffs.

  1. Go to Programming · Templates · +.
  2. Add exercises from the library. For each set, pick a load prescription: absolute (kg/lb), % of 1RM, or velocity-target only.
  3. Set velocity target and velocity-loss cutoff per exercise.
  4. Save.

Programs

A program is a calendar of templates, typically 4-16 weeks. Programs support blocks, deloads, and conditional branching (e.g. deload if 7-day fatigue index exceeds threshold).

Tip
Duplicate an existing program to base a new block on the last one. All changes are versioned · you can always roll back.
08

Assigning sessions

Two ways to push work to athletes:

  • Assign a program: choose athletes or a group, pick a start date. Every session appears on their app's Home screen on the right day.
  • One-off session: drag a template onto the calendar or an athlete row to schedule a single workout.

Athletes get a push notification when a new session appears. They can mark it done, skip it, or complete it live · you see the outcome either way.

09

Live session monitoring

The Dashboard shows every athlete currently training, in real time.

Live tiles

Each tile shows athlete name, current exercise, current set, and the last rep's mean velocity with color-coded feedback (green/amber/red vs. their target zone).

Drill in

Tap a tile to open the full live view: rep-by-rep velocity trace, velocity-loss %, cumulative volume, and any notes the athlete has attached. From here you can send a live voice note or a text cue that pops up on their app between sets.

Note
Live monitoring works for connected athletes on Wi-Fi or cellular. Offline sessions sync when they reconnect and appear in the review screen.
10

Reviewing completed sessions

Under any athlete or group, filter sessions by date, exercise, program, or tag. Every session view shows:

  • Rep-by-rep table with mean velocity, peak velocity, ROM, power, and estimated 1RM per rep.
  • 200 Hz velocity trace, scrubbable rep by rep.
  • Velocity loss, best rep flag, and adherence to prescribed zones.
  • Athlete notes, videos, and RPE.

Leave a comment on a session, a set, or an individual rep. The athlete gets a notification and sees your comment inline in their app.

11

Athlete profiles and history

Each athlete profile aggregates their entire training history:

  • Personal records per exercise (mean velocity, peak velocity, projected 1RM, best power).
  • Current load-velocity profile per lift, with change over time.
  • Chronic vs. acute workload trend.
  • Attendance and adherence to assigned programs.
  • Injury log and coach notes (private to coach staff).
  • Assigned sensor(s) and current pairing state.
12

Testing campaigns

Testing campaigns run the same protocol across many athletes and collect results in one place.

  1. Go to Testing · + New campaign.
  2. Pick a protocol: 1RM prediction, force-velocity profile, isometric mid-thigh pull, vertical jump, sprint profile, or custom.
  3. Select the group(s) or athletes, set a completion window (e.g. "any time this week").
  4. Athletes see the campaign as a scheduled session with the protocol pre-loaded.
  5. As results come in, the campaign dashboard fills automatically: sortable table, group averages, deltas since last campaign, and export to PDF or CSV.
Tip
Repeat the same campaign every 4-6 weeks to build clean longitudinal reports (see chapter 15).
13

Load-velocity profiles at scale

Under Analytics · LV Profiles, view every athlete's current profile per lift in one grid:

  • Projected 1RM, slope, V0, L0, R² fit.
  • Change vs. last measurement.
  • Confidence flag when data is stale or under-sampled.

Request a refresh for any athlete with one tap · a "Refresh LV" session is added to their calendar.

14

Comparative analytics

Analytics gives you the group-level view. Every chart supports filters by group, tag, date range, exercise, and program block.

  • Leaderboards: rank athletes on any metric (velocity, power, projected 1RM, relative strength).
  • Volume distribution: tonnage and set counts per athlete per week.
  • Readiness heatmap: velocity-drop trend across the roster, colored by severity.
  • Position benchmarks: how each athlete compares to your team's positional averages.
  • Attendance: program adherence per athlete.
15

Longitudinal reporting

Build long-range reports for federations, sport directors, or your own end-of-season review.

  1. Go to Analytics · Reports · + New report.
  2. Pick a period (season, block, year), athletes or groups, and the metrics to include.
  3. Choose a template (Executive summary, Full team review, Individual athlete report) or start blank.
  4. Export as branded PDF or share as a live web link (revocable).
16

Messaging and feedback

Every coach-athlete communication is centralized:

  • Voice notes and text comments on any set, rep, or full session.
  • Direct messages per athlete or per group.
  • Broadcast announcements to the whole roster.
  • Read receipts and reply threads.
17

Data export and integrations

All athlete data belongs to the organization and can leave the platform at any time.

  • CSV export: rep-level, session-level, or aggregated per athlete.
  • PDF reports: athlete cards, campaign summaries, longitudinal reports.
  • JSON API: programmatic pull of any data your org owns. API tokens managed under Settings · Integrations.
  • Webhooks: push events (session completed, PR hit, test result) to your own systems.
18

Permissions and roles

Coach seats come in three roles:

  • Owner: full access, billing, org settings, delete org. One per org.
  • Head coach: full access except billing and org deletion.
  • Assistant coach: can be scoped to specific groups only. Read + write inside their scope, read-only outside.

Role and scope are set when inviting or edited later under Settings · Coaches.

19

Billing and licensing

Under Settings · Billing:

  • View current plan (tier by sensor count, extra seats).
  • Add or remove extra coach seats.
  • Change billing period (monthly / yearly).
  • Update payment method and download invoices.
  • See license usage: coach seats used, sensors registered, athletes connected.
Note
Cancelling the Coach license keeps your data intact and read-only for 90 days. Reactivate any time to resume writes.
20

Troubleshooting

Athlete's session isn't appearing on my dashboard

  • Confirm the athlete accepted your invite (Roster · Pending shows unconfirmed).
  • Confirm the athlete's app is on the latest version.
  • Live monitoring requires the athlete to be online · offline sessions sync afterwards.

Sensor not showing in Fleet

  • Confirm the sensor was purchased under this organization's account (or transferred to it).
  • Power the sensor on and open the athlete app to force a check-in.

Testing campaign result missing for an athlete

  • Check the campaign window · the athlete may still be inside the completion window.
  • Confirm they used the protocol from the campaign, not a freestyle session.
